Microsoft 365 Licensing

The Right Capabilities for Your People. Clearer Control Over Your Spend.

Build Your Licensing Around How People Work

Microsoft 365 requirements change as people join, move roles and leave, while new applications and security priorities add complexity. Existing subscriptions can also renew without a detailed review.

Balance Capability, Cost and Flexibility

Vision helps you establish a clearer picture of what you hold, what your people need and when changes can be made. We assess roles, working patterns, existing licences, security requirements and future plans to identify where subscriptions remain appropriate, where capability is missing and where unnecessary cost may be reduced.

This creates a more deliberate licensing approach, balancing capability, cost and flexibility while giving IT teams a clearer basis for managing renewals and future changes.

Your Questions Answered

Microsoft 365 Licensing FAQs

Does Everyone Need the Same Microsoft 365 Plan?

Not necessarily. Different plans can support different roles, subject to licensing rules. Shared security and management requirements must also be considered when choosing the mix.

What Happens as We Approach 300 Users?

Microsoft 365 Business plans have a 300-user limit. If you’re approaching that threshold, Vision can help assess Enterprise options and an appropriate licensing approach for continued growth.

Can We Reduce Licence Quantities Whenever Someone Leaves?

Not always. Removing a user’s licence assignment does not automatically reduce your purchased quantity or contractual commitment. Reductions depend on the subscription terms and applicable change windows.

Does Paying Monthly Mean We Can Cancel Monthly?

No. Billing frequency and commitment length are separate. An annual commitment may be paid monthly while remaining payable for the agreed term.

Are Microsoft Teams and Teams Phone Included?

Inclusions depend on the exact subscription. Teams Phone entitlement and external calling connectivity need to be checked separately from access to Teams itself.

Will a Licensing Review Guarantee Savings?

Savings depend on your current position. A review may identify opportunities to reduce costs, but it can also highlight capability gaps or upcoming requirements that need investment.
